See what needs your attention, keep each patient's care together, and follow payments from charge to balance. Patients can confirm appointments, complete forms and reply to you from a link, without creating an account.

More of your working day in one place

Between seeing patients, writing notes and following up on payments, there's a lot to keep track of. Today's release, 2 October 2026, brings more of that daily work together in Synopsis, with a clearer route to the things you need before and after a session.

Start with what needs your attention

The sidebar now has one clear set of destinations: Home, Calendar, Patients, Intake, Messages, Money, Library and Settings.

On Home, the Action inbox brings together unsigned notes, unpaid balances and documents awaiting signatures. If a patient still has paperwork to finish, you have somewhere to check before following up. Open an item to go to the relevant session or patient record, so a few minutes between appointments can be enough to clear something off your list.

One record for each patient

Open a patient and you'll find Overview, Sessions and Therapy plan up front. Under More, you can reach Clinical, Billing, People, Intake and Files. Contact details, previous sessions, intake answers and uploaded reports all stay within the same record.

If you've accidentally added someone twice, you can merge the duplicate patient records. That gives you one place to return to the next time they come in.

The session page brings attendance, notes and signing together. Once you sign a note, it is locked. If you need to clarify something later, you add an addendum: the original stays intact and the addition stays alongside it. When you revisit a session months later, you can trust that the signed account hasn't been quietly rewritten.

Keep the course of treatment in view

In Clinical, Care plans let you record treatment goals and review them as care progresses. Outcome measures let you record scores, such as PHQ-9, and see their trend over time. You can look back at earlier results when preparing for a review, alongside your clinical observations.

You can also record referrals, keep guardian details under People, and close a case when treatment ends. These are part of the patient's record, so the practical details of care stay close to the work itself.

Know what's been paid and what's still due

Money brings the financial side of your practice together. You can:

  • Record charges and payments, including partial payments, and see the remaining balance.
  • Open invoices and review outstanding amounts by patient.
  • Review a monthly statement of recorded session payments.
  • Export payment records for your accountant and tax preparation.

You can set a default session price for your practice and a different price for an individual patient. If someone pays part of a charge today and the rest later, you can record both payments and follow the balance without keeping a separate note to yourself.

Follow an enquiry through to a first session

Intake gives enquiries a place of their own. In Leads, move an enquiry through New, Contacted, Consult booked or Waitlisted, then use Convert to patient when they're ready to begin. You can see who you've spoken to and who is still waiting, without searching through old messages.

The Waitlist is there when you don't yet have a suitable opening. You can also generate a public intake form link and share it with someone who hasn't become a patient yet, so they can complete the form before you create their record.

Messages, paperwork and practice at home

Messages now gives you one inbox for secure conversations with patients. Open a thread to read the conversation and reply with the previous messages in view.

From Intake, Intake packets & documents takes you to Documents. Send forms and documents for electronic signature, or group them together under Packets. Patients open the link to fill in their answers or sign, which saves passing paperwork back and forth before a first appointment.

In Home programs, send exercises or instructions for practice between sessions. Patients open their program and mark it done. For speech therapy or occupational therapy exercises, that gives families a clear set of instructions to return to at home.

A simple link for patients and parents

Patients, or parents where appropriate, receive emails with links to the task they need to complete. They can:

  • Confirm or cancel an appointment.
  • Sign a document or fill in a form.
  • Reply to a message or open a home program.

There's no patient account to create. Emails follow the language you use in Synopsis, and patients can switch the linked page between English, Greek and German.

Appointment reminders also go out by email, using the practice's language and the appointment's time zone. Closing a case stops pending reminders, so patients don't keep receiving them after care has ended.

Plan time off and prepare for video sessions

In Calendar, block time when you're unavailable, whether for a holiday, training or an afternoon off. You can arrange group and couples sessions, record attendance for each participant, and keep appointment times clear across time zones.

Before a patient's first video session, Synopsis asks for informed consent. A parent or legal guardian can give consent for a child. Consent is saved for that patient, so they don't have to repeat it before every session while it remains current.

Under Settings, Video consent lets you use the Synopsis text, write your own, or record that you collect consent outside Synopsis. You can keep the process consistent with how you already explain video sessions in your practice.
