1. Introduction

Welcome to SynopsisApp. This Privacy Policy explains how we collect, use, disclose, and safeguard your data when you use our application. We are committed to protecting your privacy and ensuring the security of your personal information,and complying with EU data protection regulations, including the General Data Protection Regulation (GDPR) and Cookie Law (ePrivacy Directive)

2. Information We Collect

We collect the following types of information:

2.1 Information you provide directly:

We collect information that you provide directly to us, including:

  • Personal information (e.g., name, email address, phone number)
  • Professional information (e.g., profession, availability)
  • Patient information (e.g., name, age, gender, diagnosis)
  • Health-related information
  • Session notes and evaluations
  • Therapy plans and activities

2.2 Information collected automatically:

  • Video call data (e.g. meeting room id, meeting room admin id)
  • Website analytics data, only if you allow analytics cookies (see below)

2.2.1 Website analytics (Google Analytics)

On our public website (the home page, pricing, profession pages, blog, changelog and legal pages) we use Google Analytics 4, provided by Google Ireland Limited, to understand how visitors find and use the website. Google Analytics only runs after you choose “Accept” in our cookie banner. If you reject or ignore the banner, it is not loaded and no analytics cookies are set.

When you accept, Google Analytics collects: the pages you visit on the public website, how you arrived (for example the referring campaign), approximate location derived from your IP address (Google Analytics 4 does not log or store IP addresses), device, browser and screen information, and how you interact with the page (such as scrolling and outbound link clicks). We send page addresses without query parameters other than campaign tags, and we have turned off Google signals and ad personalisation.

Google Analytics is never used inside the Synopsis application after you sign in, on sign-in and account pages, on video call pages, on forms or links sent to patients, or on therapists’ public websites. No patient or health information is ever sent to Google Analytics.

Legal basis: your consent (Art. 6(1)(a) GDPR). You can withdraw it at any time through “Cookie settings” in the website footer. You can read more about how Google uses this data here.

2.3 Information from cookies:

We use cookies for specific functionalities as detailed in our Cookie Policy section. You can control your cookie preferences through our cookie banner and the “Cookie settings” link in the website footer.

3. How We Use Your Information

We use your information to:
Facilitate video conferencing and telehealth sessions
Manage patient records and therapy plans
Generate and analyze therapy progress reports
Communicate with you and your patients
Ensure the security of our application
Provide and improve our services

4. Cookie Policy

We use cookies and similar technologies to enhance your experience on our application. Cookies are small text files stored on your device that help us recognize you and remember your preferences. You can delete them or alter them anytime.

4.1. Types of Cookies We Use

  • Guestid Cookie: A randomly generated ID used in video calls to allow guest users to bypass join approval in the meeting lobby.
  • Language Preference Cookie: Saves your preferred language setting.
  • Chatwoot Cookies: Used for our chat widget functionality.
  • Authentication Cookies (synopsis-production.*): Keep you signed in and protect sign-in, email confirmation and password reset flows.
  • Synopsis Consent Cookie (synopsis_analytics_consent): Remembers whether you accepted or rejected analytics cookies, so we don’t ask again. Kept for 6 months.
  • Cloudflare’s _cfuvid and _cf_bm cookies
  • Google Analytics Cookies (_ga, _ga_<ID>): Set only after you accept analytics cookies, on our public website only. They distinguish visitors and sessions and expire after up to 2 years. When you withdraw consent we delete them.

4.2. Cookie Consent

When you first visit our public website, you will be asked whether you accept analytics cookies. “Accept” and “Reject” are equally available, and nothing is enabled until you choose “Accept”. When you accept, we keep a record of your consent (a random identifier stored in the Guestid Cookie, your browser’s user agent, the time, and the version of this policy) so we can demonstrate it if needed. You can change your choice at any time through “Cookie settings” in the website footer.

The Synopsis Consent Cookie, the Authentication Cookies, the Language Preference Cookie and the Cloudflare cookies are essential for Synopsisapp’s performance, security, and reliability, and don’t require consent. Google Analytics cookies are optional.

5. Data Security

We implement appropriate technical and organizational measures to protect your personal information, including:

  • Encryption of data in transit and at rest
  • Limited access to sensitive data
  • Secure storage of patient files and evaluations

6. Third-Party Services

We use third-party services for various functionalities, including:

  • Google Analytics for website analytics on our public website, only after you’ve given consent.

  • OpenRouter to run our optional AI-assisted features (see section 7). OpenRouter forwards each request to the AI model provider that runs the selected model (by default Anthropic’s Claude).

7. AI-assisted Features

Two optional features use AI, and only when you ask them to:

  • Note template builder: turns a description you write (for example “a SOAP note for a first speech-therapy assessment”) into a note template, or changes an existing template according to your instruction.
  • Website builder: drafts and edits the pages of your public practice website from your instructions, the current page content and the names of images you uploaded.

Only the text you type into these features, and the template or page you are editing, is sent for processing, through OpenRouter to the AI model provider. We do not send patient records, session notes or other health information to these services. Please don’t include patient details in what you type. We keep a log of each AI request and its result in our own database to operate and troubleshoot these features.

We do not record, transcribe or analyse video sessions.

8. Your Rights

Under applicable data protection laws, including the General Data Protection Regulation (GDPR), you have the following rights:

  • Right to access your personal data
  • Right to rectification of inaccurate data
  • Right to erasure of your data
  • Right to restrict processing
  • Right to data portability
  • Right to object to processing
  • Right to withdraw consent

9. Data Retention

We retain your personal data only for as long as necessary to fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required or permitted by law. For patient data, we follow applicable healthcare regulations regarding data retention.

10. International Data Transfers

Your information may be transferred to and processed in countries other than the country you live in. These countries may have data protection laws different from your country. We have taken appropriate safeguards to require that your personal information will remain protected. Google may process website analytics data in the United States; Google LLC is certified under the EU-U.S. Data Privacy Framework and Google’s data processing terms include the European Commission’s Standard Contractual Clauses.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any significant changes by posting the new Privacy Policy on this page and updating the “Version” version number .
